Public Printer


TUTTLE & PLEASANTVILLE PRINTING INFO


 Coins or bills
  • §  The machine will only take $1 bills, no $5's or $10's or much less $20's.


  • §  The machine will only allow you to insert up to $6, coins or bills at a time.


  • §  Large Printing Jobs must be split. If people have large jobs split them so that only $6 worth of prints be done at a time. That would mean:

12 color pages
40 black and white



Credit Card

  • §  Black & White copies if paying with CARD

Maximum of 66 pages which is $10


  • §  Color copies if paying with CARD

A Maximum of 20 pages which is $10

If they have a job that requires more than $10 they will also have to split the job.

The credit card charge will be at least $1, even if the amount of pages total  less than $1.

Differences between queueing system and a reservation system.

A queue is a first-come-first-serve system in which customers wait in line upon arrival until it is their turn or service start time.  The customers cannot make requests in advance for a session start and end time. 

A reservation system allows the customer to schedule/reserve a service start time so there is no need for them to wait in line. Envisionware is a reservation system which is very different from both past queue systems used by HPL customers and staff. In a reservation system, each request is processed immediately and the response of the booked session, beginning and ending time, is generated and can be printed for the customer.
Both the queue and reservation system permit guest passes, however the guest passes from Envisionware take less time to print and give a clearer copy.  Guest pass lasts 24 hours.

Computer screens offer the option of using an rss feed to push out information and promote programs.The Envisionware home screen gives clear directions to the customer on how to access a computer through the reservation system.The Envisionware home screen meets our branding design of Linking You to the World.Reservation system allows a reservation for a computer to be placed in the library and in the future, at home, by customers. Customers may reserve the time slots they want in advance.

Reservations will be made during normal business operating hours due to computers being placed into Deep Freeze during non-operating hours.

The Reservation system would allow customers with a MyLink card to reserve laptops as well as desktops.  Laptops that the location does not want to make available because they are using them for a program or training can be changed to Out of Service so they are unavailable in the reservation system.

Customers must begin their session within five (5) minutes of the reservation start time.

Reservations placed after all computers have been booked are made based on the earliest availability of the next computer in a 60-minute block of time.

Each customer is allotted one (1) hour per session.
  • ·       Ten (10) minutes before the session ends, the customer receives a prompt of the time the session is ending so the customer may save their work product.
  • ·        Automatic extension of 15 minutes if computers are available.  The system checks at four (4) minutes prior to the reserved end time if other computers are available.
  • ·        If computers are not available, then the session will end at the reserved end time.  The customer would have to make another reservation. 
  • ·       Staff cannot guarantee after the 10-minute prompt whether the session will be extended because of the unknown variable of when other customers may arrive.
  • ·        The customer can book one hour at a time in advance. 
  • ·        Time exchanges: If another person’s session ends early, another customer is offered the option of waiting for their session start time or using the available time left on the first person’s session.  If the second customer chooses this option, then they lose their other reservation.  If the second customer declines this option, it will be offered to other customers. 

Customer Education
  • ·         Inform the customers of what a reservation system is. 
  • ·         Let customers know about the advantages of a reservation system.

Staff
  • ·         The staff portal is intuitive and easy to use.
  • ·         Suggest staff refrain from giving extensions of time except in emergency situations.  Staff are empowered to make these decisions.
  • ·         The primary drawback in staff giving exemptions is that the system no longer works as it was designed to work as a reservation system.
  • ·         Staff should honor customer requests to help them make a reservation.  Using the staff portal, staff can make a 2-hour reservation instead of a 1 hour reservation for customers who are taking an online test or completing a job application.
  • ·         The reservation system works best when not treated like a queue system.

Printing
  • ·         Mobile printing will be available. Print jobs will only be available for 3 days.
  • ·         Customers will be able to preview print jobs before sending to print.
  • ·         Printing will be available on the web portal using an URL, and mobile App.
  • ·         Browse the computer, upload, then go to the Self-Service station and release the print job. Library card or gest pass number is needed to retrieve jobs. Email address will be required for mobile prints.
  • ·         Can use USB /flash drives
  • ·         Can print from email
  • ·          Existing print cards will not work with Envisionware.

Winter Reading

UPDATE: Prizes will be awarded from January 2 - January 13. They get a lollipop and a book, while supplies last. Make sure you award the prize through Beanstack: houstonlibrary.beanstack.org


The Winter Reading Program is here! It's running from December 18 - January 8, with prizes awarded starting January 2. It's for youth ages 0-18 and like with Summer Reading, it's tracked through Beanstack. As long as they read at least ten minutes in a day, they get to track that day. They have to read for ten days to get the prizes, which are a book (left over from Summer Reading) and a giant lollipop (while supplies last, which we've already received in a big box marked Winter Reading). At TUT, all the prizes are on the shelves in the Reading Program section of the workroom.

If you see kids and/or parents, let them know about the program, especially if they're checking out books for the break. You can direct them to this page on the HPL website: http://houstonlibrary.org/learn-explore/winter-reading-program There's a register link at the bottom so they can register or sign in if they already created an account for Summer Reading last summer. Envisionware

Envisionware will eventually replace the current reservation system at all locations. The attached Envisionware Information Sheet will aid in understanding the new system.  The Information Sheet is based on testing conducted by Central and a few Neighborhood Library staff at Central Library.  In tandem with the installation of Envisionware, the copier machines will be replaced by copiers that do color copies.

Updates from LMS

Good morning everyone,

While HPL is still focusing on Harvey Recovery, LMS has shifted collection management priorities. The following changes are temporary and will be in effect until LMS department managers feel we are ready to resume ‘normal’ services.


New Materials:  Open locations will temporarily see an increased volume of new materials arriving from LMS.
Many locations remain closed and may be for quite some time. Rather than storing the thousands of new books and other items currently locations would normally receive, we are sending those items to open locations in order to make them available for checkout by our customers. As more locations open, this should start to even out.

Floating: We are extending the ongoing suspension of routine shipments of items from NLs to LMS Float Team through September 29.  
On a case by case basis, I have made some specific exceptions for locations experiencing a very large influx of returns due to the closure of nearby high-volume libraries. If you find that your unit is besieged by returns that are overwhelming your shelf space, please contact me to discuss a remedy. Hundreds of items that were checked out at closed NLs are being returned at CEN and CMH too and we are floating them out to open units rather than indefinitely storing all those items that are “intransit” back to the NLs where they were checked out.

Edits: For the time being, please hold off sending any edits to LMS except for:
1) Item-on-the-Fly material,
2) items specifically recalled by Gary Lackey,
3) items on wrong bibliographic records,
4) transfers to CEN Stacks,
5) items with barcodes not in the system.

This means holding onto your call number change requests, label changes, and other problem items until we are able to receive them. (Also, don’t forget that al units should now be using the new LMS flag that was recently distributed and any copies of the old Processing Flag you have on hand should be send to LMS.)

Collection HQ:  Please refrain from running any Collection HQ “Dead Items” lists until further notice. “Shopping” for specific items to rebalance collections is also on hold for now.  You’ll be notified when it is okay to resume both of those activities.

Harvey damaged items procedure

It is very important that we quickly identify and remove any Library materials that sustained water damage to prevent the spread of mold.  Be vigilant watching for evidence of mold and mildew over time, because it is not always visible immediately..

1) Wear gloves & masks when dealing with water-damaged materials.

2) Segregate wet/damp materials from unaffected dry materials. If in doubt, let it go. We will not be doing remediation of NL material due to the volume of items.

3) A storm damaged item user record has been set up for each location: XXX XXX HARVEY DAMAGED MATERIAL, user id is similar: XXX-HARVEY-DAMAGED. Check out all damaged returns and items damaged inside buildings to your unit's account.  (*Do Not use regular DISCARD accounts.)

4) Do not stamp items.

5) Box all items after processing. Wet items should be placed in boxes lined with plastic bags, to prevent leakage and box breakage.  Follow standard box weigh guidelines, keeping in mind that wet items are heavier than dry ones. Use standard Friends/Discards box label," Circle DISCARDS, add special note WET.

6) Maintain a list of categories of items that need to to be replaced in your unit. Email list to Sara Karow  LMS. Float Team will work on redistribution of floating material to locations in need.

7) Wipe down any shelving that got wet before shifting or restocking materials.


8) Contact LMS (x31469) if you have any questions.

Harvey Updates for returned materials and holds.

Hello,

There have been a bunch of questions about circulation related things so I thought I would put everything all together in one email to simplify things.

·         Visiting staff should be logging into Sirsi Workflows using the Sub Login: HOU-XXXSUB    Pin: sub4xxx  (Example HOU-ALISUB  PIN: sub4ali).  Use the 3 letter branch abbreviation for the XXX.  Staff can use their regular pin to override anything that pops up.  This will allow returns to be logged in for the correct location.
 
·         Items returned that have been water damaged:  Please be careful when handling the items.  Separate wet materials from dry materials.  All damaged items should be checked out to the storm damaged user record that has been created for each location.  XXX XXX HARVEY DAMAGED MATERIAL, user id is similar: XXX-HARVEY-DAMAGED.  Example:  RIN RIN HARVEY DAMAGED MATERIAL.  Check out all damaged returns and items damaged inside buildings to your unit's account.  *Do Not use regular DISCARD accounts.  The items do not need to be stamped.  If it is only a few items, please discard them according to normal procedures.  Contact Collection Development staff if you have a large volume of items.

·         If customers call or come into the library and report their items have been lost in the flood waters, please check out the items to the Harvey Damaged Material accounts as well.

·         Due Dates:  All items that were due starting August 26th have been extended to be due on September 29th.  This includes Hot Spots.  Locations that have not previously circulated Hot Spots should review the Hot Spot instructions training information on the Training Portal (http://training.houstonlibrary.org/library-function).  Hot Spots were assigned to particular locations so if one is returned to you, please email Saima Kadir the device barcode and the location. 

·         Holds:  We have suspended the cancelled holds reports for now.   Holds for closed locations should be handled on a case by case situation.  Staff should work with customers for holds at other locations that are still not open.  If possible, re-place the hold, putting the customer at the top of the queue if necessary.  The holds from STE have been moved to JUN.  Holds from LAK and KAS have been moved to TUT.  We are working to reactivate the holds at KEN with a new pick up location of HIL.  FIDS knows that future holds for STE, KAS, LAK, and KEN should be sent to these alternate locations.  FLO holds will be moved to STA tomorrow.

·         ILLs:  Check your ILL shelf and contact ILL to see if the customer can still pick them up or not.  Most of them have expired and they need to be sent them back to ILL.  New ILLs have been suspended for now.  We can work with customers to re-place ILL requests once we open ILL back up.  If any ILL items are damaged or reported as damaged, please contact ILL so they can contact the lending library.  Contact Tunisia Powell at 3-1447 with questions.

The Learning Link Staff FAQ is intended to guide you in working with customers who may have questions regarding what Learning Link is and how it can be used. It's a living document, so if and when situations arise that the document does not address, we'll add to it. 1. What is Learning Link?
·                     Learning Link is a virtual library account that is issued to all students in Houston Independent School District schools.
2. Can a student have a Learning Link account as well as a My Link library card?
·                     Yes. A student enrolled in an HISD school may have a Learning Link account even if s/he already has a My Link library card. Likewise, a student with a Learning Link account may also register for and receive a My Link library card, as long as s/he does not already have a My Link library card account in HPL's Symphony system.
3. What can a student do with a Learning Link account?
·                     Learning Link provides the student with 24/7 access to HPL electronic resources, as well as allows him/her to have up to 10 physical items checked out from the Library at a time (some restrictions apply).
4. Are there check out limits for Learning Link accounts?
·                     Yes. Learning Link accounts are limited to up to 10 physical items checked out at any time. Additionally, Learning Link accounts are subject to the same check out limits on electronic resources as My Link accounts.
5. Are there restrictions on the type of physical material that can be checked out on Learning Link accounts?
·                     Yes. Learning Link accounts may not be used to check out DVDs, CDs, laptops or other electronic devices, games or Flip Kits. Additionally, elementary school students may use their Learning Link accounts to check out physical items from the juvenile materials collection only.
6. Do Learning Link accounts accrue fines?
·                     No. Fines do not accrue for overdue materials checked out on Learning Link accounts.
7. Do Learning Link accounts get billed for unreturned, lost, or damaged material?
·                     Yes. Learning Link accounts will be billed for unreturned, lost and damaged material. Bills for items will be limited to a maximum cost of $10.00 per item, and no processing fee will be charged.
8. Will Learning Link accounts be blocked for bills?
·                     Yes. Learning Link accounts will be blocked from privileges when the amount owed for bills for unreturned, lost and/or damaged material on the account is $50.00 or more.
9. What do I do when a student wants to check out physical material with his/her Learning Link?
·                     To look up the student's Learning Link account, request his/her school issued student ID, and look the account up using the name and ID number. The Learning Link User ID is the first initial of the last name followed by the student ID number (Robert Frost with HISD ID number 123456 will have Learning Link user ID F123456). If the student cannot present his/her school issued student ID, get the student's first and last name, student ID number, and birthday. Use that information to look up the student's account, confirm that you have the right account by checking the birthday against the PIN (mm/dd). Before checking out, make sure that the student's home address and phone number are added to the account. Address verification is not required for these accounts, but it is helpful to do so if the parent is present.
10. Can parents/guardians use their children's Learning Link accounts?
·                     Some parents may wish to use their children's Learning Link accounts to check out material for their children. Allow them to do so. The parent will need to provide the same information to access the account and check out as the student does. The same limitations will apply to these check outs as apply to check outs performed by the students.
11. Can Learning Link accounts be used to check out DVDs, CDs, laptops or other restricted material if the student's parent/guardian gives permission to do so?
·                     No. Learning Link accounts are not approved for checking out any of those materials. Parents/guardians may register their children for My Link accounts, which will allow them to check out DVDs, CDs, laptops and other electronic devices, games, and Flip Kits.
12. Do HISD Staff have accounts too?
·                     Yes, HISD staff also have Learning Link accounts in the Symphony system. The formula for the user IDs is the same as the student accounts - first letter of last name and employee ID #/ They are not allowed to check out physical materials with those accounts. They are limited to electronic resources only. If an HISD staff member comes in and wants to check out physical materials, they should complete an application and get a regular MyLink card.

Staff Meeting Minutes 7/29/2016

Monthly Meeting Agenda 7/29/2016
        I.            Managers Meeting Notes
a.       New Positions opening at Blue Ridge soon. There will be a WIC Clinic in location.
b.      Language Access Plan
                                                               i.      We have an obligation under federal law to provide access to all patrons regardless of the language they speak.
                                                             ii.      The new Language Line allows us to receive immediate live translation for a nominal cost, including Spanish. Attempts should be made to use in staff personal first before moving to Language Line and the number is not to be shared with the public.
                                                            iii.      Bilingual staff will be asked to report on the frequency they use their second language at work and in what roles. (Outreaches, story times, programs, reference etc) If selected for an official bilingual position, you will be asked to take a proficiency test before you get bilingual pay.
c.       New Communication Guidelines
                                                               i.      All programs must be put into Evanced three months in advance with an end goal of working toward a 12 to 18 month calendar.
                                                             ii.      We will be losing the Crafts, Book Clubs, and Health and Fitness flyers but retaining the Computer Class flyers.
                                                            iii.      We will have Evergreen flyers that are available all year promoting library services such as our online databases, ebooks, and job labs.
                                                           iv.      Communications will promote three events a month per branch and the sooner we select the events the more promotion they can do. (Print, e-newsletter, social media)
d.      Youth Services Update
                                                               i.      Learning Link training is on August 12th Youth Meeting. All Youth Services employees must attend. If you cannot attend we need to know now to make arrangements to schedule you for the next Manager’s Meeting.
                                                             ii.      End of Summer Reading is officially July 31st. The bike will be selected on August 2nd and we will be asked to send in our remaining prizes around the start of school. We can allow customers to redeem prizes up to that point but we will not be logging anymore books. However if someone insists they read the books before the July 31st and just couldn’t log them we can make an exception but those will not go toward the bike.
e.      Digital Strategies Update
                                                               i.      Hotspots and Notebook checkouts are being piloted at select locations and are potentially coming to all locations.
                                                             ii.      It will be possible to request a hotspot for in house use for example, taking kids on a Pokemon Go! Tour of the neighborhood.
      II.            Branch Business
a.       Two New Hire Part Time CSC start 8/8/16 Eugene Rodriguez and Charneice Gayle. There is still one Part Time CSC to hire which is posted now. Brittany and Yadira's will report to work at their new branches on 8/13/2016
b.       Brandon’s position for Librarian III is now posted and its close date is 8/6/2016. So hopefully we will have that position filled soon.
c.       We will no longer be allowed to do homework at work unless we are on one of our two fifteen minute breaks or our lunch. This includes when we are on the desk or times we have finished shelving or other tasks.
                                                               i.      I will be working with the new manager or assistant manager to share tasks that will cut down on the boredom, develop staff skills and make best use of our time. 
d.      Back to school is approaching and we will be taking a more proactive approach to After School Zone. We will still strive to give children the opportunity to follow rules but we will no longer tolerate fake fighting either inside the library or in the parking lot as it has led to too many actual fights. Similarly we will send students home for cursing, excessive noise, or running in and out of the building.
                                                               i.      We will try to collect as many parent’s phone numbers as they come to pick up their kids so that we have someone to call other than the police when kids refuse to leave or are involved in an incident.
                                                             ii.      Neshia and Shine have found clarification for the After School Zone policies and found there are no official rules for them and that existing library rules are to be followed. They have reached out to see how other branches have gone about enforcing these policies consistently to share the best practices at Pleasantville.
    III.            Suggestions

a.       Shine made a request for better communication with regards to scheduling changes. Drew will email, call, or directly speak with any staff member when making schedule changes going forward.

Meeting Minutes 5/6/2016


     II.        The meeting was held at the Tuttle Neighborhood Library Friday May 6, 2016 at 8:30 AM.
1.       Brandon began by announcing the newest member of HPL and our new International Services Manager, Helen Cho.
a.       We reviewed the ISpeak Houston sign and how to help a customer identify which language they speak so that we can connect them to the appropriate translator.
b.      Brandon introduced the new Language Line Service that allows for quicker connection to translators through a City Only connection service. We reviewed the flow chart to determine when it is appropriate to connect a customer. Brandon emphasized that this service costs the library .30 to .50 a minute and that there currently is no line item in the budget for it, so we should only use it when there are no other translators available and never give the number out to the public.
2.       Brandon shared the newReservation System Video link 
3.       We reviewed the policy for cell phones, computer and internet use while on the desk.
a.       Cell phones are to be left in the back room or in your pocket on vibrate if you go out to the floor. In the case of an emergency, you can check your phone, but you need to be able to leave the desk first to do it.
b.      Homework is not to be done on the clock.
c.       Internet is provided for business use. The internet may be used for personal use on break, but not on the front desk.
4.       We covered the advice given by HR on applying for jobs internally and clearly answering the supplemental questions. Specifically listing all customer service experience instead of just the experience at HPL and selecting the highest level of education achieved on the dropdown list even if you have achieved a higher level than is available to select. This will prevent applications being declined that could have otherwise gone forward.
5.       We reviewed the severe weather policy and insured that everyone had the emergency hotline number in their phones. Brandon clarified that when the library is shut down due to flooding, only people assigned to work that day get paid, not people on sick days, vacations or unscheduled employees. We also reviewed the form to be filled out upon returning from a major storm.
    III.            We discussed Council Member Cisnero’s visit to Tuttle.
1.       Cisnero is very passionate about education and technology and has a number of ideas for Tuttle including paid interns to teach computer classes this summer, the possibility of getting the Community Engagement Mobile Computer Lab to visit, and other potential ongoing programs.
    IV.            We confirmed that everyone that will be working at Tuttle during the Summer Food Program has already completed or signed up for the Food Training Course. We have three remaining employees signed up for the course on next Thursday.

      V.            We opened the floor to discussion but no one had any comments or ideas.
